What is the role and where do you come in?

We’re looking to bring on a combined Office Manager/Executive Assistant who will function primarily to support the partners of the company with administration, recruitment, and whatever else comes their way. We are a small company in an industry where things move at a rapid pace, so you will also need to possess the ability (and more importantly the desire) to assist in all areas of the business. This includes but is not limited to: recruiting recruiters, office management, marketing and community management, event planning and attendance, internal communications and engagement.

To be successful in this role your mentality must be that to you, no job is too big or too small, nor out of your realm of duties. You are happy to help in whatever capacity is needed and understand that this is an opportunity to learn about all aspects of running a business. You will demonstrate initiative with proactive problem solving, understand the importance of confidentiality and use discretion where necessary, and possess a keen attention to detail.

Duties (not limited to…) - You will wear many hats!:
- Office Admin/EA/Event Planner/Tech Support
- Provide administrative support to Managing Directors and Consultants
- Manage Executives' calendar (schedule internal and external meetings, manage registrations, notifications, etc. and make sure the Executives are informed and schedule is followed)
- Assist in key account management (update and maintain relevant account, client, and job information, communication and scheduling with clients and candidates, taking notes during key calls, gathering feedback)
- On-boarding, training, general HR duties
- Event planning and preparation
- Answering phones, managing calendars, coordinating travel
- Preparing presentations, contracts, and other documentation
- Maintain office supplies and cleanliness
- General office admin (faxing, filing, etc)
- Technical Support (minor issues)
- Social Media Management (Facebook/Twitter/Instagram)
- Liaise with vendors
- Complete small research, creative, and personal projects
- Experience with Photoshop nice to have
- Creating group chemistry and maintaining a positive atmosphere!

Your tone and demeanor is professional, courteous and direct but you welcome the occasional (maybe a little more than occasional!) office shenanigan’s.

You work best in entrepreneurial environments and have a dynamic, confident personality with the ability to successfully drive projects with minimal guidance. You are always looking to streamline processes and get tasks out of the way.

You thrive on knowing your ability for keeping things organized and getting things done is what keeps the office running smoothly and the executives you work with performing at their best because they trust you have all the bases covered.

Must Have’s:
- College or University Degree
- Minimum 2 years of relevant work experience in Admin/EA capacity
- Proficient with Microsoft Office, Google Apps,
- Independent, self-motivated, ability to work with direction but minimal supervision
- Valid driver's license
- Ability to work effectively in fast paced, high-energy environment (effective time-management, prioritization skills)
- Strong written and verbal communication skills
- Strong ability to collaborate with others, balanced with strong independent work ethic
- Highly effective problem solving and judgement abilities
- Experience with event planning an asset
- Tech savvy
- Great sense of humour!
